Prepare for the Fall Semester with These HR Reminders
As the Fall semester approaches, Clemson University’s campus is buzzing with activity. To help employees and faculty ease into the new academic year, the Office of Human Resources (OHR) has shared key reminders and resources. Here are 11 important tips to start the semester off right.
1. Review the 2025 Holiday Calendar
The 2025 Holiday Calendar is an essential tool for planning your time off. Labor Day is part of the recognized holidays for eligible employees. Additionally, each eligible employee receives one optional holiday annually that must be used before the end of the calendar year. To use it, request time off in Kronos and get approval from your supervisor. Unused optional holidays do not carry over.
2. Update Emergency Contacts and Work Location
Ensure your emergency contact information and job location are accurate in Employee Self-Service. This helps the University maintain up-to-date records and can be critical in emergencies. Updates can also be made through the “Update Your Information” section on the OHR website.
3. Utilize the Employee Assistance Program
Clemson offers a comprehensive Employee Assistance Program (EAP) through ComPsych’s GuidanceResources®. This service is available to all employees and their household members, providing support such as childcare referrals, legal consultations, and live personal development trainings. Visit the GuidanceResources® portal to create an account and explore services.
4. Submit Dependent Care Spending Account Claims
If you’re enrolled in a Dependent Care Spending Account, remember to submit your reimbursement claims. Funds may be used for qualifying expenses from January 1, 2025, through March 15, 2026. All claims must be submitted by March 31, 2026. Eligible dependents include children under 13. Additional details are available on the PEBA MoneyPlus site.
5. Focus on Professional Development
Invest in your growth by exploring opportunities listed in the Professional Development (Pro-Dev) Calendar. Managed by OHR and other campus departments, the calendar is updated monthly and includes easy online sign-up options via Tiger Training. Subscribe to receive the calendar directly to your inbox using the online form.
6. Elect to Receive Tax Documents Electronically
Speed up tax season by choosing to receive your W-2 and 1095-C forms electronically. Log into Employee Self-Service and update your preferences under the Tax Documents section. This quick step reduces mail wait times and increases document security.
7. Check and Set Up Direct Deposit
All Clemson employees must have 100% of their net pay directly deposited into a bank account. To set this up, navigate to Employee Self Service, select “Payroll and Compensation,” and then “Direct Deposit.” After reviewing the Direct Deposit Authorization Message, click “Add Account” to complete the setup. Refer to the 2025 Payday Schedule to keep track of your paydays.
8. Understand August Benefits Deductions
For 9-month faculty members, August paychecks include full month’s insurance premiums. This ensures uninterrupted coverage during the summer break. Regular deductions will resume in September. More information is available on the overview of benefits deductions and summer insurance coverage from PEBA.
9. Explore the Summer Savings Plan
The Summer Savings Plan allows 9-month faculty to withhold a portion of their net pay during the academic year and receive it in six installments during the summer. Enrollment is open through September 30, 2025. Eligible employees can find more information and sign up on Clemson’s Summer Savings Plan webpage.
10. Follow Fall Hiring Best Practices
When onboarding new staff, be sure to complete all necessary background checks and I-9 verifications. These must be processed digitally through PeopleSoft before an employee starts work. For international employees, OHR must handle the I-9 process. Departments should not facilitate I-9 completion for international hires.
11. Know the Remote Work Policies
In-state remote work is allowed under Clemson’s policy with proper documentation and approval through the OHR. Out-of-state remote work is only approved under exceptional circumstances. Supervisors must coordinate with their HR Service Manager to initiate out-of-state remote work requests. Visit the Remote Work webpage for more information and enrollment procedures.
